Collaboration depends on who can view content. A private group restricts the audience to its members but may include external customers. The private label does not establish internal-only membership. Activities track tasks and commitments; the mobile experience should show useful fields without changing information-authorization requirements.
Guided application
Confirm membership and purpose before posting operational plans. When audiences differ, prepare appropriate versions and bounded channels. Use a Task for work with a due date and an Event for a calendar commitment. If Shared Activities is enabled, associate relevant contacts with the same activity rather than duplicating the commitment. Review compact-layout assignments when header fields do not match the design. When preparing a migration meeting, separate attendees from the people authorized to view every attachment. Meeting attendance does not automatically authorize access to each document. Record a follow-up task with an owner and deadline and relate it to the correct context. In mobile validation, confirm the assigned layout and whether the fields help the operator perform the task, using an identity with representative permissions. Review audience changes when membership changes.
A migration brings together internal operators, a supplier, and customers. The existing private group includes everyone. The internal runbook contains details that should remain within operations. The team separates internal discussion from external communication, retains the complete version in the authorized channel, and publishes only status and impacts appropriate to the external audience.
Common pitfalls
Creating a compact layout does not automatically make it the assigned layout. A visible field remains subject to applicable security. Asking an external member not to open an attachment does not prevent them from viewing it.
